User Roles & Permissions

Understand what each role can do so you can give the right level of access.

User roles in Cerivo define what each person can see and do.


Roles and permissions

No access

No login access.

Users can still be selected as a responsible person (except for tasks), but they won’t receive notifications or be able to access the platform.


Policy reader

Limited access for policy acknowledgment.

Users can log in to read and confirm assigned policies, but cannot access other parts of Cerivo.

This role is often assigned automatically through the Policies module.


Read access

View-only access.

Users can log in and view information, but cannot make changes or be assigned responsibilities.


Limited access

Access focused on assigned responsibilities.

Users can:

  • log in
  • be assigned as a responsible person
  • create and update systems, vendors, and Processing Activities they are responsible for

They cannot change task details such as deadlines or ownership.


Standard access

Full working access across the platform.

Users can:

  • log in
  • be assigned responsibilities
  • create and update systems, vendors, and Processing Activities
  • download reports

Superuser access

Extended access for advanced users.

Users can:

  • create, update, and delete systems, vendors, Processing Activities, and controls
  • manage data protection areas
  • generate and manage reports

Administrator access

Full control of the platform.

In addition to superuser permissions, administrators can:

  • manage company information and settings
  • configure integrations
  • manage users and roles

Administrators always have access to all areas and can make changes when needed.


User lifecycle

When a user is created

The user receives an email with a link to Cerivo and instructions to log in.

When a user is removed

Before a user is deleted, you’ll be prompted to reassign their responsibilities.

You’ll see which systems, vendors, Processing Activities, and tasks they own, and can assign these to another user to keep work moving.
